Privacy Policy
This Policy explains what data Sentiqo collects, why, who we share it with, and the rights you have over your data. We have tried to write it like a person, not a contract.
1. Who we are
Sentiqo is operated by [Sentiqo legal entity — TKTK] (“Sentiqo,” “we,” “us”). We are the controller of the personal data described in this Policy. For privacy questions, email privacy@sentiqo.ai.
2. What we collect
Account data
When you sign up: your name, email, hashed password, and the organization or brand context you provide.
Brand and configuration data
What you tell us to monitor: brand name, domain, the sources you connect (subreddits, App Store listings, X handles, etc.), competitor names, custom prompts, scoring preferences, and the outputs we generate for you (storylines, monthly reads, dashboards).
Public mention data
On your instruction, we collect publicly available posts, reviews, and other content about your brand from the source platforms you select. We store the raw content, our analysis of it (sentiment, themes, clustering), and links back to the original source.
AI conversation data
We send prompts to large language models (currently ChatGPT, Claude, Gemini, Perplexity) to capture how these models describe your brand. We store the prompts, the model responses, and metadata about model versions and timestamps.
Usage and device data
Logs of how you use Sentiqo (pages visited, features used, errors encountered), browser type, IP address, and approximate location derived from IP. We use this to keep the service running and secure.
Cookies and similar technologies
See section 8 for details.
3. How we use it
- Provide the service — operate, maintain, and improve Sentiqo; deliver the storylines and reads you configured.
- Support — respond to your questions and troubleshoot.
- Security — detect, prevent, and respond to abuse, fraud, and unauthorized access.
- Product improvement — analyze aggregated and de-identified usage patterns to improve the service. We do not use your Customer Content to train generally available AI models.
- Communications — send transactional emails (account confirmations, password resets, scan-ready notifications) and, with your consent, product updates.
- Legal compliance — comply with applicable laws and respond to lawful requests from authorities.
4. AI model providers and other subprocessors
To deliver the service, we share limited data with the subprocessors below. All are bound by written agreements requiring appropriate confidentiality and security safeguards.
AI model providers
- Anthropic (Claude) — we send brand-related prompts and receive responses. Data sent: prompt text, model configuration. Anthropic does not use API inputs to train their models per their stated policy.
- OpenAI (GPT) — same as above.
- Google (Gemini) — same as above.
- Perplexity — same as above.
Hosting and infrastructure
- Vercel — web application hosting and edge network.
- Database and queue providers — for storing account data, scan outputs, and processing jobs.
Operational tools
- Email delivery — for transactional and opted-in product emails.
- Error and performance monitoring — to detect outages and bugs.
Source platforms
We retrieve public content via APIs or ingestion connectors provided by Reddit, Apple App Store, Google Play, YouTube, Trustpilot, X, Hacker News, and similar platforms. We do not share your account data with these platforms; we read public content from them.
We may engage additional subprocessors as we grow. We will update this list with material changes and, where required, give you the opportunity to object.
5. Sharing and disclosure
We do not sell your personal data. We share it only:
- With the subprocessors listed in section 4, to provide the service.
- With your team members in the same workspace, in the ordinary course of using the service.
- In connection with a corporate transaction such as a merger, acquisition, or sale of assets, where the recipient agrees to honor this Policy.
- When required by law, court order, or to protect the rights, safety, or property of Sentiqo or others.
6. Where your data is stored
We primarily process data in [Data-residency region(s) — TKTK]. Data may also be processed by our subprocessors in other regions where they operate (commonly the United States and the European Union). When we transfer personal data across borders, we rely on legally recognized transfer mechanisms, including Standard Contractual Clauses where applicable.
7. Retention and deletion
- Account data — kept while your account is active and for a reasonable period afterward to support legal and operational needs.
- Brand and configuration data — kept while your account is active.
- Public mention data and AI conversation data — retained to power historical comparisons and monthly reads; typical retention is at least 90 days and may be longer where you have ongoing reads or historical comparison features enabled.
- Logs — retained for up to 12 months for security and operational analysis.
You can request deletion at any time by emailing privacy@sentiqo.ai. We will delete personal data in our control within a reasonable time, except where we are required to retain it by law (e.g., tax records, dispute records).
8. Cookies
We use cookies and similar technologies for:
- Strictly necessary — keeping you signed in, remembering your workspace, securing sessions. Cannot be disabled if you want to use the service.
- Analytics — understanding how the service is used at an aggregated level so we can improve it.
- Preferences — remembering UI choices like expanded sections.
We do not use advertising cookies. You can control non-essential cookies through your browser settings or our cookie banner where applicable.
9. Your rights
Depending on where you live (notably the EU/UK under GDPR and California under the CCPA), you have rights over your personal data. These typically include:
- Access — request a copy of the personal data we hold about you.
- Correction — ask us to fix data that is inaccurate or incomplete.
- Deletion — ask us to delete personal data, subject to legal exceptions.
- Portability — receive your data in a structured, machine-readable format.
- Objection or restriction — object to certain processing or ask us to restrict it.
- Withdraw consent — where we rely on consent, you can withdraw it at any time.
- Complaint — lodge a complaint with your local data protection authority.
To exercise any of these rights, email privacy@sentiqo.ai. We may need to verify your identity before responding.
10. Security
We protect data with reasonable technical and organizational measures: encryption in transit (HTTPS/TLS), encryption at rest for sensitive fields, role-based access controls, audit logging, and periodic review of our subprocessors’ security posture.
No system is perfect. If you believe you have found a vulnerability, please report it responsibly to security@sentiqo.ai. We will work with you in good faith.
11. Children
Sentiqo is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us at privacy@sentiqo.ai.
12. Changes to this Policy
We may update this Policy from time to time. We will post the updated version at this URL with a new “Last updated” date. For material changes, we will give notice at the email on your account at least 30 days before the change takes effect.
